Know what each installed boiler cost you to win

We connect your calls, texts and web enquiries to the jobs in your scheduling or CRM software, so each install, agreement and repair can be traced to its source and its marketing cost.

Written by Ali Sedighi, MBALast updated:

Most boiler companies can say how many calls they received last month. Very few can say what an installed boiler cost to win. This service builds the link between marketing and invoices, so every report answers the question that matters: which spend produced which units, and at what cost.

What it is

It is the measurement layer under all of our other services. Calls, texts and web enquiries are tagged by source; each enquiry is matched to the job it became in your scheduling or CRM software; and the result is a monthly ledger of cost per unit by channel.

The ledger separates the three units a boiler company sells. An installed boiler, a signed agreement and a booked repair each get their own cost line, because each has its own ceiling. Blending them is how a profitable install campaign gets cut because its cost per lead looked high.

Who it is for

  • Owners whose reports show clicks and calls but never installs.
  • Companies running several channels, such as search ads, maps, a directory listing and social, with no way to compare them.
  • Boiler divisions inside larger HVAC firms, where boiler work is hidden inside a combined marketing report.
  • Anyone preparing for growth or a future sale, where a clear record of acquisition cost carries weight.

What is included

  1. Call and text tracking numbers for each major channel, set up in your company's name.
  2. Source fields in your scheduling or CRM software, with simple rules your office can follow.
  3. Job matching: each enquiry linked to the install, agreement or repair it became, or marked as not booked.
  4. Ceilings per unit, agreed with you from your own cost figures.
  5. A monthly ledger: spend, units won and cost per unit, by channel, against each ceiling.
  6. A short monthly note on what changed and what we recommend.

Tracking involves personal information, so the rules matter. The Office of the Privacy Commissioner explains that PIPEDA covers most private-sector businesses, while Alberta, BC and Quebec have their own substantially similar laws. We set tracking up to collect what is needed and no more, but how those laws apply to your company is a question for your lawyer.

Timeline

  • Weeks 1–2: audit of current sources, software and reports.
  • Weeks 2–4: tracking numbers, source fields and job-matching rules in place.
  • Month 2: the first full monthly ledger.
  • Month 3 onward: ceilings refined as real cost data accumulates.

How results are measured

The service is working when three things are true: most booked jobs have a known source, the monthly ledger is ready without anyone rebuilding it by hand, and budget decisions are made from cost per unit rather than from lead counts. We report the share of jobs with a known source each month, so you can see the quality of the data alongside the data itself.

What we need from you

Admin access to your scheduling or CRM software, a list of every channel you currently pay for, and half an hour with whoever answers your phones. That person decides whether the source field gets filled in, so their buy-in matters more than any software setting.

Mistakes to avoid

  • Tracking leads but not jobs. Without job matching, you still cannot tell what an install cost.
  • One tracking number for everything. It hides which channel produced the call.
  • Letting the office skip the source field. A two-second question on every call is what makes the ledger work.
  • Judging a channel on one month. Boiler demand swings with the weather; compare like seasons where you can.

HVACDeal.ca's 12:1 ROI could only be stated because spend was tied to revenue. The allowable cost per install guide explains how ceilings are set, and our pricing page shows which plans include CRM integration. We never handle your equipment or your books; we measure your marketing.

Frequently asked questions

What software do we need?

Whatever you schedule and invoice in today, as long as it can record a lead source on each job. We work with your existing system rather than replacing it.

Do you record our phone calls?

Call tracking can record calls, but it does not have to. Whether you record, and how you tell callers, is a decision for you under the privacy law that applies in your province.

How accurate is the attribution?

It is never perfect. Referrals, repeat customers and people who see an ad then call from a truck sign will blur it. We report the share of jobs with a known source so you can see how much to trust each figure.

How long does setup take?

Usually two to four weeks for call tracking, source fields and the first report, depending on how your current software is set up.
